The Challenge

The solicitors firm was looking to support improved collaboration and flexibility across its multiple sites, as well as with partner organisations. It had already begun this journey through the adoption of a new integrated case management system and Microsoft Office 365.

Office 365 is Microsoft’s cloud based Office suite, enabling access and editing functionality for files on any device at any time, allowing greater capability for users to work and collaborate, irrespective of location.

However Turbervilles’ new approach to work was hindered by its existing legacy PBX system, which prevented the firm from utilising a number of features it required, including, external desktop sharing, external video conferencing and use of multiple devices for voice calls.

Turbervilles was also planning for growth by enabling home working, though this was another area for which their existing systems were unfit for purpose. The firm needed all communications tools to be accessible from anywhere and communications technology to be fully scalable for future growth.

Having already adopted Office 365, Turbervilles required a voice solution that could fully integrate with it, and was looking for a single partner with the capabilities to implement the entire transition.

The Solution

As a Unified Communications specialist and Microsoft Gold Communications Partner with a strong legacy in voice solutions, GCI was the ideal partner for Turbervilles.

GCI identified that the best communications solution for Turbervilles’ requirements was Microsoft Skype for Business, a Unified Communications (UC) platform that delivers streamlined communications for users. It combines instant messaging, voice over IP, video conferencing and other collaborative features such as desktop sharing, all integrated with the Microsoft suite of apps including Office and Outlook for email.

Skype for Business enabled Turbervilles to move from its expensive traditional ISDN lines to SIP Trunking, seeing calls delivered over IP. The transition to SIP not only made multimedia communications possible, it also meant reduced call costs and much greater flexibility for future expansion. Additionally, to fully benefit from the transition, Turbervilles current connectivity needed to be considered to identify whether its current capability was suited to the likely traffic levels.

Through workshops, GCI were able to identify a predicted level of traffic via video and voice. As a partner with network infrastructure specialists Alcatel-Lucent Enterprise and Aruba, GCI was able to provide leading edge LAN and Wireless solutions to fully support new communications requirements. The proposed LAN and Wireless networks would allow Turbervilles to take full advantage of its new Unified Communications solution.

Turbervilles’ new Microsoft Skype for Business solution paved the way for a more efficient and collaborative way of working. It has enabled:

Home working - Facilitating Turbervilles’ growth plans, with Skype for Business and Office 365 allowing employees to work from anywhere with the same collaboration capability and communications continuity as in the office.

Flexibility - These same features allow all employees to work anywhere, any time, unhindered.

Colleague and partner collaboration - Skype for Business’s collaboration features allow Turbervilles colleagues to work on documents together at the same time, regardless of location. Federation allows for easier communications with partners, too.

Scalable and future proof - Turbervilles’ new SIP based telephony system is simple to scale up, and easy to integrate with future solutions, proofing it for future growth and technologies.

In addition, Turbervilles saw significant cost savings and return on investment from the project. This was driven by:

Using one partner – the economies of scale in using one partner for the full implementation meant a reduction in support costs and time saved with the day to day management.

SIP savings – the transition to SIP significantly reduced call costs.

Efficient working – the more efficient working practices enabled by Skype for Business and Office 365 also resulted in great ROI for Turbervilles.
